This policy explains what data NineRole ("the App") collects, why we collect it, how it is used, and the choices you have. NineRole is a workforce-management (HRMS) app distributed to employees of organizations that have licensed it. Your employer is the data controller; UX Crafts operates the App as their processor.

1. Data we collect

Account & profile data. Name, work email, employee ID, role, organization, and profile photo — provided by you or your employer at onboarding.

Location data (foreground and background). Precise GPS coordinates, timestamps, and movement are collected during active work sessions and check-ins to verify attendance, log field visits, and produce time-and-distance reports for your employer. A persistent notification is shown whenever background tracking is active. Tracking stops when you end your shift or sign out.

Camera & face image data. The App uses your device camera to capture a photo of your face during check-in for attendance verification. Captured images are stored on your employer's secured servers. We do not use face data to build a biometric template for advertising, identification across services, or any purpose beyond attendance verification.

Device data. Device model, OS version, app version, build fingerprint (Android Build.ID), push-notification token, and crash diagnostics — used to keep the App stable and to enforce per-device login approval.

Usage data. Screens visited, actions taken (check-in, check-out, leave requests, etc.) and timestamps, used to operate the service and improve reliability.

We do not collect contacts, SMS, call logs, browsing history, or files outside the App's own storage.

2. How we use the data

Data is used to (a) authenticate you and the device you use, (b) record attendance, location, and work activity for your employer, (c) deliver notifications relevant to your role, (d) diagnose crashes and improve the App, and (e) comply with legal obligations of your employer.

3. Sharing

We share data with: your employer (full visibility into your HRMS records), Google Firebase (push notifications, crash reporting, analytics), Google Maps Platform (map rendering and geocoding), and cloud-infrastructure providers hosting the backend. We do not sell personal data and do not share it with advertisers.

4. Retention

Attendance, location and check-in records are retained for the period your employer requires, typically the duration of employment plus a statutory retention window. You can request deletion of your account by contacting your employer or writing to us at the address below; we will honour the request subject to your employer's legal retention obligations.

5. Security

Data in transit is protected with TLS. Server-side data is encrypted at rest. Access is restricted to authorized personnel and to your employer's authorized administrators.

6. Your rights

Depending on your jurisdiction, you may have the right to access, correct, export, or delete the personal data we hold about you, and to object to certain processing. Contact your employer's HR administrator first; you may also contact us using the details below.

7. Children

NineRole is not directed at children under 16 and is intended only for employees of organizations that have licensed the App.

8. Changes to this policy

We will post any material changes to this page and update the effective date above.
